Regatta Volunteer Positions

At each Sandy Run regatta that SC Crew competes in, we are assigned positions that are critical for the regatta to run smoothly.  This includes everything from working at concession stands or driving a launch boat to being a race timer at the finish line!

VASRA also requires each team to provide pre-season and post-season volunteers (2 for each work day) to help set up and take down the course.  Those assignments are included in the 2010/2011 VASRA Regatta Assignments above.



Team Crew Volunteer Positions

 
  1. Regatta Day Food Tent - each home regatta
    A tent is set up at each regatta to provide health snacks and drinks to the rowers throughout the day-long regatta.  Volunteers bring food and drinks, help set up, and help take down the tent.

2011 Regatta Day Food Tent Coordinators:  Anne Tidabach

Set-Up shift (7:30 - 11:00):  Set up shift must go to Anne’s house the evening before and pick up bins/coolers/food, etc.  (Check with Anne to arrange time things have to be picked up by)

Take-Down shift (11:00 - 3:00): Maintain hospitality area until last race.  Clean up and store tables and tent.  Take down shift must return the bins/coolers/items to Anne’s house after the regatta on Saturday.   ROWERS WILL HELP WITH EVERYTHING – PLEASE USE THEM!

2. Pasta Party

The Rowers have a tradition of relaxing and socializing together (no parents) while gathering to eat appropriate foods the night before each regatta.  Crew families open their homes to host these pasta parties, which typically run from after practice until about 9 pm.   The rowers provide the food, which is assigned according to their seat in the boat.  Food assignments vary from week to week depending on leftovers from the previous week.

3. Family Pot Luck Dinner / End of Year Picnic (sign up at the January kick-off meeting)

4. Car Wash Coordinator – coordinate team car washes in the summer and fall.  (Kris Needham)

 

5. Wreath Sale Coordinator – Jean Laib 2011 Coordinator (still looking for cochair).  The proceeds from this Fundraiser go towards Individual Rowers accounts to help minimize rower dues.

 

6. Spring Plant Sale Coordinator - coordinates the purchase of plants, location, advertising, and volunteers.  Need Chairperson for this.

 

 7. Shuttle Bus Liaison

Need 1 morning volunteer and 1 afternoon volunteer for each of 3 regattas (TBD)

AM Shuttle Bus Driver Liaison
1)     Meet the bus driver at Silverbrook Elementary 15 minutes prior to the first run in the morning (first run departs at 7:00 or 8:00 regatta dependent).
2)     Give driver the signs to put in the windows (Sheri Aldape will provide the signs and you need to bring tape to put the signs in the bus windows).
3)     Give driver the passenger count tally sheet (Sheri Aldape will provide in e-mail).
4)     If the driver hasn’t driven the route before, go with them on the first run to show them drop-off/pick-up point at Sandy Run.
5)     Be available by cell phone in case the bus driver needs to get a hold of someone.  Get the driver’s cell phone number.
6)     Around 12:00, contact the PM liaison by cell phone and “hand off” responsibility and information.

PM Shuttle Bus Driver Liaison
1)     Be available by cell phone.  Expect a “hand off” around 12:00 from the AM liaison.
2)     Be available by cell phone in case the bus driver needs to get a hold of someone.
3)     Physically check in with the driver and let him know you are now the liaison.  Discuss time of last pick up from Sandy Run (usually 1 hour after the last race finishes).  Tell the bus driver you will be on that last run.
4)     After the last race, check with the SC and TJ coaches at the boathouses to ensure all that need a ride will get to the bus for the last run.
5)     Ride the last bus from Sandy Run to Silverbrook Elementary.
6)     Retrieve the driver's passenger count tally sheet and signs from windows.
7)     Contact Sheri Aldape to give her the signs and tally sheet.


8. Team Photographer - Takes photos at each event and uploads photos on website and end of year slide show.

10. Travel Logistics

 

Making arrangements for the crew team to travel to Mathews, Stotesbury Cup and (hopefully!) Nationals takes time and effort to ensure that everything runs smoothly.  Parent volunteers assist in such activities as hotel reservations, food planning, bus rental, etc.

11. Parent Chaperones (sign up at January kick-off meeting)

Parent Chaperones – Stotesbury Regatta May 19-21, 2011 (must travel on team bus, stay in team hotel, attend each day of regatta)

2010-2011 Volunteer Positions still to be filled include:

1. Stotesbury Food Tent CoChair (underclass parent preferred):  CoChair with Lynn Warner (rising senior parent).  This will be Lynn's third year in this capacity.  Learn from a seasoned pro!

2. ERG (or other - 50/50?) raffle coordinator: Held in January/February.  Quick and easy.

3.  Corporate Sponsorship fundraiser: Contact Fundraising Chair for more information.  Needed ASAP!

4.  Spring Plant Sale Coordinator: Contact Fundraising Chair for more information.  Must begin this early!

5. PotLuck Dinner/Season-end Picnic CoChair: CoChair with Cindy Rutley (rising Senior parent).  This will be Cindy's second year in this position.  Looking for underclass parent preferably, for transition into next year.

6.  Wreath Sale CoChair: CoChair with Jean Laib (rising Senior parent).  This will be Jean's second year in this position.  Looking for underclass parent preferably, for transition into next year.

7.  Pasta Party Coordinator: Fill Pasta Party Assignment slots (always an easy task !).  Make team member assignments for items to be brought to Pasta Party.  Send emails as needed to alert parents/students of dates/assignments.
